SPSS Data View vs Variable View — Data Entry Basics

What Is the Difference Between Data View and Variable View?

SPSS’s data editor has two tabs that do fundamentally different jobs. Data View is a spreadsheet: each row is a case (a participant, a respondent, an observation), and each column is a variable. Variable View is where you define what each of those columns actually means: its name, type, and how SPSS should treat it statistically. You enter data in Data View, but you set it up correctly in Variable View, and the second step is the one students skip.

Setting Up Variable View Correctly

Each variable in Variable View has eight properties worth understanding, not just filling in:

  • Name: a short identifier (no spaces), e.g. “satisfaction_1”
  • Type: usually Numeric, but String for text responses, Date for dates
  • Width and Decimals: how many digits and decimal places to display
  • Label: the full question text, so output stays readable later
  • Values: numeric-to-label mapping (e.g. 1 = “Male”, 2 = “Female”)
  • Missing: user-defined missing value codes (e.g. 99 = “Did not answer”)
  • Measure: Nominal, Ordinal, or Scale

Why the Measure Setting Matters More Than It Looks

Of these eight properties, Measure is the one that quietly determines which tests you can even run. SPSS uses this setting to decide which variables it offers you in a given test’s dialog box: a variable set to Nominal won’t appear as an option for a test that expects a continuous outcome, even if the underlying numbers would work perfectly well. A common failure mode is a genuinely continuous variable (age, income, a summed scale score) left at its default Nominal setting after import, silently blocking the correct analysis until someone thinks to check Variable View.

Common Data-Entry Mistakes to Avoid

  • Leaving every imported variable at the default Measure setting instead of checking each one
  • Skipping Value labels, then forgetting what “1” and “2” meant three weeks later
  • Not declaring a missing-value code, so blank or placeholder responses get treated as real data points
  • Typing variable names with spaces or special characters, which SPSS won’t accept
